How to CC order emails to a customer's accounts team in Shopify

Short answer

You can't add a CC to Shopify's own order emails. The free way is to add a staff notification recipient, or forward the emails by hand. If you need copies per customer, RNS Copy Order Emails sends its own copy of each order email to the extra addresses you set.

Why Shopify doesn't do it on its own

Shopify sends each customer email (order confirmation, shipping, refund) to the email on the order. There's no CC field in the notification settings. That works for a shop that sells to one person. It doesn't work for B2B and wholesale, where the person who orders the products isn't always the person who pays the invoices.

The free way

  1. For one address that needs every order (your warehouse or your own bookkeeper): go to Settings › Notifications › Staff notifications. In Recipients, click Add recipient, choose Email address, type the address and click Add recipient. It doesn't have to be a staff account.
  2. For a customer's accounts team: keep a list of which customers want copies and where to send them. A note on the customer's page works.
  3. When one of those customers orders, forward the order details to their accounts team yourself. Do the same when the order ships, is cancelled or is refunded.
  4. If you're comfortable with automation: Shopify Flow can react to a new order, read a second address you saved on the customer (a metafield) and send it on through an email service. Plan time to set it up and test it.

Where the free way falls short

  • A staff notification goes out for every order from every customer. You can't pick it per customer.
  • It's your team's order alert, not the confirmation your customer got.
  • Forwarding by hand is easy to forget on a busy day, and shipping and refund emails need forwarding too.
  • The Flow route works, but you build it, you fix it when it breaks, and you need a separate email service.

The easier way: RNS Copy Order Emails

  1. Install and add the addresses. Set an "Always copy to" address for every order, and/or up to 5 copy addresses per customer. The same field shows on Shopify's own customer page, so staff can edit it there too. For B2B, every contact of a company shares one list.
  2. Check the wording. Look over the email templates, send yourself a test, then turn test mode off.
  3. Let it run. Every order confirmation Shopify sends is copied to those addresses, right after Shopify's email. Home lists every copy with where it went, and you can resend any of them.

The Free plan copies order confirmations, up to 20 copies a month. Pro is $15 a month with a 14-day free trial: unlimited copies, plus shipping, cancellation and refund copies.

What it can't do: apps can't add a CC to Shopify's own email. The app sends its own copy, with the same order details, as a separate email.

Questions

Can I add a second email address to a customer for invoices?

Not to Shopify's own emails: they go to the email on the order. With the app you add up to 5 copy addresses per customer, in the app or on the customer's page in Shopify (Metafields card).

Does my customer get the email twice?

No. Copies go only to the extra addresses, never to the order's own email.

Can the accounts team also get shipping and refund emails?

Yes, on Pro. Tick shipping confirmation, cancellation and refund in Settings. They're off at first.
